This month, we’re excited to have Elissa share her expertise in automated workflows.

What are Automated Workflows?

Automated workflows are document management tool consisting of a series of actions that can be applied to your documents in the Wisedocs platform to rearrange and customize the final outputs to reflect how you need your records sorted. During the onboarding process, we customize your workflows to meet your specific needs. When documents are uploaded to the Wisedocs platform, Optical Character Recognition (OCR) is used to index and summarize each page. These documents are then available in the wisedocs platform, where the workflows can be easily applied to organize them in the most efficient way for you and your specific needs. Our workflows utilize key terms and cutting-edge AI technology within the index and summaries, to be able to organize records into the desired outcome. With our automated workflows, no alterations are final. Our team makes it easy to adjust, modify, or update your desired workflows and outputs overtime.

Why does the industry & insurers need them?

All of our customers can benefit from using workflows to organize their master set of documents. This organization allows you to quickly and efficiently interpret the complex information of a health claim. Different cases may require different workflows. For instance, if you need to see documents sorted by date, our Chronological Sort Workflow is ideal. It allows you to arrange all medical records in chronological order, ensuring seamless navigation and review.

For example, insurance companies looking to assess a motor vehicle accident will find value in sorting documents in chronological order as when medical documents are sent, they are out of order and can contain medical information that is not within the time of the assessment. The chronological feature allows the insurance company and claims team to go directly to the date of loss and filter out medical information that is not needed or unnecessary to review, saving their teams manual effort. This in turn cuts down on time to review documents allowing only the most pertinent information that falls between a date range to be assessed.

Our platform's configurability means that these workflows do not need to fit into predefined templates. Instead, they can be customized to align with your unique requirements and preferences, offering a highly flexible approach to data analysis.

If you need to focus on documents from a specific provider or hospital, the Author (Provider/Facility) Sort or Split will categorize thousands of pages accordingly. This is useful for grouping records by specific contributors or facilities, making it easier to conduct in-depth analysis. For example, these specific workflows are typically most useful to medical experts, IME’s and other medical professionals who deal with legal proceedings and documents when it comes to a claim case. Frequently, these professionals will find themselves lending their medical expertise to legal teams through depositions to determine the outcomes of a case. Throughout this process, instead of sorting manually through irrelevant documents, these clients can sort for records pertaining to the facility or provider they are being questioned on in a deposition and can focus their attention and insights to the legal proceedings instead of the vast medical records clouding their thoughts. Our many workflows improve the clarity of the records and reduce the time it would take for teams to organize them manually.

How does time-saving improve TAT and reputation?

When it comes to turnaround times, our automated workflows feature is unmatched in speed and efficiency, with some clients saving over 60% of their time processing documents from automated workflows alone. Once records are uploaded through our system, the workflows can be implemented within seconds to reorganize, categorize, or split the documents according to your specific needs. From my experience working with medical records, I know how chaotic and disorganized they can be when first received. I’ve spent countless hours, sometimes even days, manually picking through records to find and organize the necessary information for a case.

Automated workflows drastically reduce this time, ensuring that your documents are accurately and efficiently organized. With Wisedocs, you can reduce the time it takes to process case files by over 80%. Our artificial intelligence (AI) models can process hundreds of pages of medical records and other documents in hours - saving teams valuable time to dedicate to higher value tasks.

Benefits for health professionals with specializations

Automated workflows are a huge help for health professionals with specific specializations, like cardiologists, neurologists, and oncologists. They give you the ability to sift through only the most relevant documents, so you can concentrate on what truly matters. This saves you time and helps you make informed decisions effortlessly.

For instance, a cardiologist can focus on heart-related records, while a neurologist can easily find neurological assessments and imaging reports. Oncologists can thoroughly review patient histories, lab results, and treatment plans without getting bogged down by unrelated information. This targeted sorting is particularly useful for Independent Medical Examination (IME) companies, as it saves money by reducing the number of pages reviewed by the experts.

By simplifying the review process, you can devote more time to patient care and less to administrative tasks. Plus, this allows you to meet tight deadlines and handle larger caseloads, benefiting both you and your patients!
